National Grid is hiring a Records Management Analyst. We offer flexibility regarding your location; however, you will need to be onsite at our Warwick office 1-2 times per month. Company requirements may change.
About the Role
National Grid is seeking an experienced Records Management Analyst to support and implement the organization’s records management program and policies.
The successful candidate will be responsible for creating, updating, and maintaining National Grid’s records retention schedules by conducting legal research necessary to determine retention values, performing inventories, interviewing department staff, analyzing results, and documenting procedures used to create schedules. He/she/they will conduct inventories of records of all media, develop and implement methods for applying the records retention schedule to the records, and conduct audits of recordkeeping practices to ensure compliance with corporate retention policies and procedures.
What You'll Do
The Analyst will maintain all required information in the records management application (Versatile), monitor the accuracy of the application database, support the Technical Specialist with troubleshooting the application, and train National Grid personnel to use the client portion of the application. The Analyst will direct, design, develop, recommend and implement manual and/or automated active records filing and retrieval systems, review, evaluate and recommend designation of records/information considered vital to the organization, and manage records stored offsite and/or commercial storage contracts. This includes monitoring activity and costs, maintaining an accurate and efficient records index, satisfying reference requests, reconciling the commercial storage invoices, and maintaining the relationship with UK National Gas, .
Where applicable, the Analyst will support emergency access request procedures, investigations, and both internal and external audits. He/she/they will provide subject matter expertise and guidance regarding policies and process to protect personal and sensitive information and records, draft procedures, provide training both within the team and cross-functionally, and prepare reports, presentations, and status updates for projects and special assignments.
The Analyst will be expected to maintain and develop professional skills and certifications through ongoing training and career development, including self-study, classroom training, and industry seminars, workshops, and conferences.
About You
- Bachelor’s degree with specialized coursework or certification in records management, business law, and information technology, and a minimum of two (2) years’ experience in a retention scheduling environment.
- Recommended CRM
- Develop a thorough knowledge of company administrative and operational functions.
- Expertise in records management principles and application software.
- Thorough knowledge of Governance Risk and Compliance (GRC) software.
- Thorough knowledge of vital records/disaster recovery procedures and of the technology available to protect vital records.
- Thorough knowledge of information technology methods; the ability to identify application components and apply retention schedules to them.
- Strong analytical skills.
- Strong legal research skills, and knowledge of retention information sources.
- Excellent interpersonal and communication skills.
- Ability to maintain a productive working relationship with Records Coordinators, Data Privacy Champions, and managers throughout the company.
- Ability to work on multiple assignments simultaneously.
- Experience with and knowledge of Microsoft Office suite.
- Ability to work independently and with minimal supervision.
- The ability to perceive and analyze problems, propose solutions, and clearly communicate recommended decisions.
- Confidence to take the initiative and the ability to see projects through to completion.
- Ability to coordinate team members to effectively complete a project.
