National Grid is Hiring an Executive Assistant for Vice Presidents in the New England region. This is a hybrid position and regular presence of 3 per week in National Grid’s Waltham office is required.

Job Purpose

The Executive Assistant provides comprehensive support to 1-2 National Grid executives and their teams by carrying out a wide range of duties to support day-to-day and project-based activities.

Key Accountabilities

  • Effectively manage demanding and constantly changing and complex calendars for meetings, workshops, and appointments for internal and external stakeholders.
  • Plan and coordinate travel arrangements (domestic/international) using Concur and ensure use of most economical rates and compliance with Company Policies and Procedures.
  • Assist in the coordination and logistics of all critical staff and business meetings and logistics both onsite and offsite. Ensure that costs remain within budget and that preferred vendors are used.
  • Create expense reports accurately while adhering to company policies and guidelines.
  • Monitor on a regular basis executives’ email and keep them apprised of important and time sensitive messages.  Forward onto others for action if necessary and follow-up in a timely manner.
  • Work closely and effectively with executives to understand their priorities, commitments and needs to be proactive and supportive.
  • Coordinate with other departments, day-to-day administrative and operational tasks.
  • Interact with others including all levels of employees and internal and external stakeholders. Build relationships with other EAs in the organization.
  • Lead department initiatives as needed in support of strategic objectives
  • Independent thinking to identify possible new initiatives in support of strategic objectives 
  • Provide support and assistance as needed with various miscellaneous projects.
  • Manages Strategic Relationships: Builds informal, trusted, working relationships with executive assistants and chiefs of staff supporting key stakeholders, leverages those connections to facilitate access on behalf of the Vice President.
  • Understands Priorities of the VP Demonstrates sound judgment in triaging meeting requests and stakeholder engagements—proactively prioritizing high impact relationships aligned with the Vice President’s objectives while diplomatically filtering or deprioritizing low value interactions to protect executive time and maximize influence.

Qualifications

 

  • Associates Degree preferred
  • 4+ years of demonstrated Executive Assistant experience required
  • Working knowledge of Microsoft Applications: Office 365, Outlook, Teams, Word, Excel, and PowerPoint. required.  
  • Experience with Concur and SAP preferred.
  • Ability to handle highly confidential and sensitive information with discretion and professionalism.
  • Outstanding written and verbal communication skills and the ability to communicate effectively and professionally.
  • Excellent planning and organization skills with the ability to prioritize and handle multiple projects in line with changing and competing priorities.
  • Attention to detail and ability to meet challenging deadlines.
  • Proven ability to get results through working with others
  • Must be able to function independently while collaborating with others interdependently.
  • Demonstrates strong work ethic, responsiveness to executive and team needs, and positive and friendly attitude.
  • Ability to work with minimal direction, exercise judgment, strategic and analytical thinking.

Salary

$70,000 - $82,000 a year
