As part of the SI Onshore Programme Management Office (PMO), Governance and Assurance (G&A) is at the heart of how we deliver success. We’re looking for a Technical Secretary who will take the lead in driving our G&A meetings and frameworks, ensuring everything runs seamlessly under the BP500-SI governance model. You’ll be the go-to person for arranging formal and informal Gate Governance sessions, keeping timelines on track, and making sure meeting packs and follow-up actions are delivered promptly. Collaboration is key—you’ll work closely with G&A leads to maintain consistency and clarity across the process.
Your role will include capturing detailed minutes and actions, issuing formal documentation for sign-off, and tracking progress to enable timely Gate Closure. You’ll also manage accurate records in SharePoint for all onshore governance projects, safeguarding critical materials used for project assessments.
Beyond this, you’ll own the development of a reference library of guidance and decisions within the BP500-SI framework—creating a resource that drives efficiency and knowledge sharing. Working alongside the Assurance Manager and Head of Governance and Change, you’ll help cascade key messages and successes to the right audiences, proactively identifying projects that can benefit from shared insights and arranging briefings to support their next Gate.
This role will be based from our Birmingham office.

- Proven experience in providing organisational and administrative services to stakeholders to achieve successful outcomes.
- Demonstrable experience of taking detailed minutes and actions in large and/or complex meetings
- Demonstrable experience of owning and delivering new initiatives/projects
- Experience of influencing stakeholders to accomplish or land tasks
- Experienced user of MS Office toolset (Word, Excel and PowerPoint and Sharepoint).
- Demonstrate a logical and methodical approach to problem solving, with good attention to detail.
- Strong relationship building and interpersonal skills.
- Proven work experience as a Project Coordinator or similar role
- An ability to prepare and interpret presentations, flowcharts, schedules, and step-by-step action plans
- Solid organisational skills, including multitasking and time-management.
- Strong client-facing and teamwork skills
What you'll do
- While ensuring the team are supported in all elements of the G&A process, this role will be responsible for the development and ownership of a handful of new initiatives such as the Lessons Learned process etc.
- Ensuring a smooth and efficient implementation of the G&A processes, workshops and other related events, capturing minutes and actions in a timely manner, and working with the project teams to ensure actions are closed out.
- Influencing wider stakeholders to create consistency across the projects and G&A processes, ensuring processes are being adhered to and actions completed in a timely fashion.
- Reviewing the existing processes alongside the Assurance Manager and team members, ensuring best practice is identified and implemented.
- Coordinate the logistics for the various G&A meetings, which are mostly held remotely, including room bookings if needed and ensuring IT and presentation facilities are available.
- Review and consolidate regular G&A reporting deliverables, including supporting new report implementation at need.
- Assist with the communication of reporting outputs and other briefing material and events for the wider PMO.
- Lead on the development and implementation of the G&A Lessons Learned activity, working closely with the Assurance Manager and Head of Governance and Change to ensure key messages and successes are cascaded to the relevant audiences, ensuring key leaders are informed where needed. Provide a responsive, supportive and proactive administrative service.
- Supporting the G&A Team and as appropriate the wider PMO team with the efficient delivery of our administrative and organisational requirements.
What you'll get
A competitive salary between £42,000 - £50,000 – dependent on capability.
