Job Purpose
We are responsible for the daily supervision, coordination and planning of assigned clerical personnel to effectively accomplish job tasks in line with departmental and National Grid requirements. This may include oversight and/or collaboration with Construction Personnel, Field Operations Personnel, External Contractors, Mark-out Personnel, and other company or contractor employees of National Grid.
Key Accountabilities
- Assign, plan, schedule, coordinate and audit the daily activities of the support services personnel.
- Supervise a workforce that may work overtime hours (day/night)
- Monitor work order close outs to ensure that work is correctly received, closed, and updated in systems and progressed to financial closeout in a timely manner.
- Facilitate the efficient and accurate processing of timesheets
- Carry out supervision, coaching, training, disciplining, and reviewing all clerks to improve efficiency.
- Assist with scheduling and tracking of various reports for Work Support.
- Monitor performance of allocated staff including issues relating to sickness, discipline, and poor standards of work to ensure that work is carried out efficiently and effectively and feedback is given timely.
- Review and monitor the work of others; providing technical guidance when required, to ensure accuracy and timeliness of information.
- Identify opportunities for improvement in business processes.
- Develops a climate promoting motivation, participation, and opportunities for employee initiative.
- Execute instructions and requests, plan and organize resources and make appropriate arrangements to ensure that work is carried out efficiently and in line with relevant policies and processes.
- Build a team environment, setting expectations to improve work performance
Qualifications
- Bachelor’s Degree and/or 3-5 years’ experience preferred
- Working knowledge of information systems and technologies related to field operations (MAXIMO, MDSI, CWQ, etc.) preferred
- Proven demonstration of quality labor relations skills including interpretation of contract language, resolution of grievances and issues related to sickness and poor standards of work and the implementation of corrective action where necessary preferred
- Strong oral and written communication skills
- Requires knowledge of Microsoft products such as Excel, Word, Teams, Outlook, and PowerPoint
- Solid planning and organizing skills required
- Valid driver’s license required
